Free Roofing Invoice Template

Roofing jobs are billed by the square, with a tear-off, a material package and a dumpster that all show up on one invoice. This roofing invoice template is pre-loaded with the lines roofers use, from shingle squares and underlayment to flashing and permits, so a deposit and a final bill stay consistent. Fill in the roof details and send the PDF at completion.

What a roofing invoice should show

A roofing invoice works best when it mirrors the contract. List the tear-off, the new roof system, the accessories and the debris removal on separate lines, and state the measured squares so the customer sees where the total came from. A square is one hundred square feet of roof, so a twenty-eight square roof is roughly twenty-eight hundred square feet of surface.

Name the shingle line, the color and the underlayment on the invoice itself. When a homeowner calls two years later asking what went on the roof, the invoice is the record. Include the permit number and the date of final inspection if your jurisdiction requires one.

Deposits, change orders and decking

Most roofers take a deposit at signing, often a third, and bill the balance when the last bundle goes up. For larger jobs, a progress payment after the dry-in is common. Spell out the schedule on the invoice so the final bill never reads as a surprise.

Rotted decking is the classic change order. Price it per sheet in the contract, photograph it before you cover it and add it to the invoice as its own line with the count. A customer who has seen the photo and agreed to the rate pays without a fight. If the decking damage pushes the job past the deposit balance, treat the difference like any change order: approval in writing, its own line, and the paperwork kept with the original contract so the final invoice reconciles.

Insurance jobs and lien waivers

Storm and insurance work adds paperwork. Record the claim number, the adjuster's approved scope and any supplement you requested, and invoice the homeowner's deductible and the insurance payments as the contract describes. Keep the supplement history so the totals reconcile.

Offer a lien waiver with your final invoice, particularly on bigger roofs. A conditional waiver tied to payment reassures the homeowner and lender, and some states require statutory wording, so use a form that fits your state. Keep a signed copy with the job file, and hand the homeowner a copy of the warranty paperwork at the same time so the closeout is a single conversation.

Repair visits versus full replacement billing

A roof repair invoice is its own document, not a miniature reroof. The leak call or inspection carries its fee, the repair is lines for the patch area, the flashing and the shingles matched to what is already on the roof, and the crew minimum applies when a fix takes less time than the drive over. Photograph the failed area before and after. The pictures justify the repair and answer the question of why a small patch cost what it did.

Repairs also close the loop on the warranty records. When the fix falls under your workmanship warranty, invoice it at zero against the original invoice number, the same documented trail as any warranty call. When it does not (storm damage, a competitor's install, deferred maintenance), the repair invoice and the photos are the first things the homeowner's insurance adjuster asks for.

Taxes on roofing invoices

Sales tax on roofing depends on how your state classifies the work. Some states treat roofing as a real property improvement where the contractor pays tax on materials, while others require tax charged to the customer on the materials portion. Permits are usually a government fee outside the sales base. Separate materials, labor and fees on the invoice and check with your state revenue department or accountant.

This is general information, not legal or tax advice. Rules vary by location.

Frequently asked questions

What is a roofing square and how is it used on an invoice?

A roofing square equals one hundred square feet of roof surface. Shingles, underlayment and tear-off are all priced per square, so the invoice multiplies the square count by the per-square rate. Measure the actual roof surface, including pitch, rather than the footprint of the house, and add waste to material orders.

How much deposit can a roofer ask for?

A third of the contract is common for residential work, and some states cap deposits or require specific contract language. Put the deposit amount on the contract and show it as a credit on the final invoice. Be cautious about large deposits for materials you have not purchased, since many disputes start there.

Should the dumpster be billed separately?

Yes, list the dumpster as its own line unless the contract is a bundled price. Dumpster sizes and haul fees vary, and an overweight roof can run the cost up. A separate line lets you justify a change if the tear-off exposes a second layer of old shingles.

What happens when the roof deck is rotted?

Price replacement per sheet in the contract before work begins. When you open the roof and find damage, photograph it, show the homeowner and bill the sheets on the final invoice at the agreed rate. Documented, pre-priced decking replacements rarely turn into disputes.

Can I add a ventilation upgrade to a reroof invoice?

Yes, and a reroof is the cheapest time to do it: the roof is already open. Ridge vents, intake vents and baffles are legitimate invoice lines, priced per vent or per linear foot. The upgrade has a practical case behind it (attic moisture, ice dams and the ventilation requirements written into shingle manufacturer warranties), so put that reasoning in the quote before the customer has to guess why the line exists.
